Overview

Workforce capacity modelling directly inside Power BI.

Capacity Planner helps operational teams compare current staffing capacity against demand, then test the effect of adding or removing FTE by role. It is built for service delivery, case management, call center, public-sector, HR, and workforce planning reports where standard charts do not provide enough interaction.

  • Model current capacity from current FTE and productivity per FTE.
  • Add or remove scenario FTE by position role with immediate recalculation.
  • Compare demand, current capacity, scenario capacity, gap, and utilization.
  • Estimate required FTE and cost impact when cost per FTE is available.
  • Use optional department grouping and optional cost fields.
  • Run without a backend, external API, authentication service, writeback, or database.

Core capacity modelling

The current downloadable package includes the core planner: role FTE changes, executive cards, interpretation text, capacity table, cost view when cost data exists, and local scenario state.

Premium mode

Advanced controls shown clearly

Premium modules such as demand shock modelling and advanced customization are visible with clear disabled messaging in Free mode. Premium mode is currently a visual setting, not secure license enforcement.

Field mapping

Required and optional inputs.

Power BI can aggregate repeated department-role combinations before calculation. Demand and current FTE are summed; productivity and cost are averaged.
